Privacy Policy
Effective Date: June 2025
At Daylight Psychology Studio, your privacy and confidentiality matter deeply. As a solo practitioner and registered psychologist, I'm committed to safeguarding your personal information in accordance with the Australian Psychological Society's (APS) Code of Ethics, the Australian Health Practitioner Regulation Agency (AHPRA) standards, and Australian privacy legislation, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy outlines how I collect, use, and protect the personal information of clients and website visitors.
1. Collection of Personal Information
As part of providing psychological services, I may collect the following types of personal information:
Personal details: name, date of birth, contact information (phone number, email address, residential address)
Medical and psychological information: relevant mental health history, current symptoms, diagnoses, and treatment information
Sensitive information: this may include information relating to sexual orientation, gender identity, medical history, and emergency contact details, where relevant to your care
Billing information: payment details, which may include Medicare information, NDIS plan details (for plan-managed or self-managed clients), or WorkCover claim details
Usage data: information collected automatically when you visit this website, such as IP address, browser type, and device information, used to understand how visitors use the site and to improve its functionality
2. Methods of Collection
I collect personal information in several ways, including:
Directly from you, during consultations or through intake forms
When an appointment is booked through Halaxy, where limited information (such as contact and payment details) is processed securely
Through communications via email or phone
Through session notes generated with the assistance of Novonote, an AI-assisted note-taking tool used to support accurate record-keeping during sessions
Through your interaction with this website
All personal information is collected with consent and only as needed to provide effective psychological services or to manage administrative tasks.
3. Use and Disclosure of Personal Information
Personal information is used solely to provide and enhance psychological care and services, including:
Assessing and providing appropriate therapeutic interventions
Managing appointments and billing
Communicating with third parties involved in funding or supporting your care, where appropriate and with your consent (for example, Medicare, NDIS plan managers, or WorkCover)
Meeting legal and regulatory requirements, including mandatory reporting obligations
Professional communication and record-keeping in line with ethical and regulatory standards
I will not disclose your personal information to third parties without your consent, except where:
It is subpoenaed by a court
Failure to disclose would place you or another person at serious and imminent risk
Disclosure is otherwise required or authorised by law
Your prior approval has been obtained - for example, to provide a written report to a referring GP. Please note that if you have been referred under a Medicare Mental Health Care Plan, progress reports are provided to your referring GP at standard intervals (commonly after the 6th and 10th sessions)
I have a legal and ethical responsibility to keep all psychological services conducted via telehealth or in person confidential, except under the circumstances outlined above.
4. Storage and Protection of Information
I'm committed to protecting the security of your information through:
Practice management: appointment and billing information is processed through Halaxy, which applies industry-standard encryption and security measures
Session notes: clinical notes are supported using Novonote, an AI-assisted note-taking tool. Notes generated through this process are stored securely and form part of your confidential clinical record, accessible only to me as your treating psychologist
Communications: email and phone communications are conducted through secured, password-protected accounts and devices, accessible only by me
Records retention: all records are retained in line with AHPRA's record-keeping requirements
In the event of a data breach, I will follow AHPRA and Office of the Australian Information Commissioner (OAIC) guidelines for notifying affected individuals and taking necessary remediation steps.
